Employee Setup

The Employee Setup screen consists of four tabs: Name and Address, Payroll Info., Items and Misc. Click on one of these options to view help for the corresponding tab.

Name and Address Tab

Employees - This list displays the employees that are defined for this payroll. When an employee is selected, their information is displayed in the fields to the right of the list. If you cannot find a name or an employee number in this list, check to make sure you have the correct group entered in the "Group" field.

Employees can be added to this list by clicking on the New button. See the New Employee Help topic for more information.

Group - This field shows the group that you are authorized to view (based on your login privileges). These groups were defined in the Groups screen. See the Groups help topic for more information. The authorization to view groups is defined in the Users screen. See the Users Help topic for more information on setting up users.

Select By Name - Select this radio button to display employees in the list based on their name.

Select By Employee No. - Select this radio button to display employees in the list based on their employee numbers.

Surname - This field shows the surname of the employee selected in the Employees list (i.e. the current employee). If you are entering a new employee, this field is used to enter the desired surname.

Given Name - This field shows the given name of the employee selected in the Employees list. If you are entering a new employee, this field is used to enter the desired name.

SIN - This field shows the Social Insurance Number (SIN) of the current employee. If you are entering a new employee, this field is used to enter the desired SIN.

Employee No. - This field shows the Employee Number of the current employee. If you are entering a new employee, this field is used to enter the desired Employee Number.

Employee Group - This drop down list shows the group to which the current employee is a member. If you are entering a new employee, this list is used to select the desired employee group.

If a desired group is not visible and was entered in the Groups screen, verify that your User ID provides you with pvivileges to view or add to the desired group. See the Users Help topic for more information on user authorization privileges.

Status - This drop down list displays the status of the current employee. If you are entering a new employee, this drop down list can be used to select the desired status.

Birth Date - This field shows the birth date of the current employee. If you are entering a new employee, this field is used to enter the desired birth date.

Gender - This drop down list displays the gender of the current employee. If you are entering a new employee, this drop down list can be used to select the desired gender.

Address - This field shows the address of the current employee. If you are entering a new employee, this field is used to enter the desired address.

City - This field shows the residing city of the current employee. If you are entering a new employee, this field is used to enter the desired city.

Province - This drop down list displays the residing province of the current employee. If you are entering a new employee, this drop down list can be used to select the desired province.

Postal Code - This field shows the Postal Code of the current employee. If you are entering a new employee, this field is used to enter the Postal Code.

Telephone - This field shows the phone number of the current employee. If you are entering a new employee, this field is used to enter the desired phone number.

E-mail - This field shows the e-mail address of the current employee. If you are entering a new employee, this field is used to enter the desired e-mail address.


New - Opens the New Employee dialog box so you can add a new employee.

Save - Saves the current changes. Note: If you do not Save your changes, they will be discarded when you leave this screen.

Delete - Deletes the current employee.

Cancel - This button discards any changes you have made and restores the page to the last saved state.

Test - This button opens the Test Calculation dialog box so you can test the pay calculation.

Help - Opens this help page.

Import... - Opens an import dialog. From here you can import hours or dollar amounts from a external file.
